Guaranteed Upgrades

A Guaranteed Upgrade allows guests to instantly confirm a room upgrade at a fixed price ("Buy Now"). Unlike a traditional bidding upgrade, there is no approval process required by hotel. Once the guest selects the guaranteed price, the upgrade is automatically confirmed.

How it differs from a regular (bidding) upgrade

On the guest-facing upgrade page, Guaranteed Upgrades are displayed with a "Guaranteed at €X" banner and a lightning icon on the room upgrade card.

Setting Up Guaranteed Upgrades

Navigate to Setup > Room Types. Go all the way to the bottom, after room pictures. 

1. Guaranteed Price Percentage

The Guaranteed Upgrade price is calculated based on the upgrade's configured minimum and maximum upgrade price.

Formula

Guaranteed Price = Minimum Price + (Percentage × (Maximum Price − Minimum Price))

Example 1

  • Minimum Upgrade Price: €100
  • Maximum Upgrade Price: €200
  • Guaranteed Price Percentage: 75%

Calculation:

€100 + (75% × (€200 − €100))

Guaranteed Price = €175

Example 2

  • Minimum Upgrade Price: €30
  • Maximum Upgrade Price: €60
  • Guaranteed Price Percentage: 50%

Calculation:

€30 + (50% × (€60 − €30))

Guaranteed Price = €45

 

2. Availability Thresholds (Optional)

Availability thresholds control when a Guaranteed Upgrade is offered to guests.

This helps protect inventory by ensuring that Guaranteed Upgrades are only available when sufficient rooms remain available for the stay.

You can configure either:

  • A percentage-based threshold, or
  • An absolute room threshold

Percentage-Based Threshold

The upgrade will only be offered if the number of available rooms is greater than or equal to the configured percentage of the room type's inventory.

Note: To use a percentage threshold, the room type must have its total inventory configured in the system.

Example

  • Superior Room inventory: 20 rooms
  • Threshold: 10%

Calculation:

20 × 10% = 2 rooms

The Guaranteed Upgrade will only be available while at least 2 Superior Rooms remain available for the stay.

Absolute Room Threshold

The upgrade will only be offered if the number of available rooms is greater than or equal to the configured room count.

Example

  • Threshold: 5 rooms

The Guaranteed Upgrade will only be available while at least 5 rooms remain available for the stay.

How It Works for Guests

  1. Guest views available room upgrades.
  2. A room upgrade with a Guaranteed Upgrade offer displays a "Guaranteed at €X" banner.
  3. Guest selects the offer and accepts the fixed upgrade price.
  4. The upgrade is automatically confirmed.
  5. No approval or action from hotel staff is required.
